How Email notifications work

ShiftNest sends automated email notifications to keep agencies, facilities, and workers informed in real time about key updates — such as new shifts, accepted offers, and timesheet approvals.

When a Worker Receives a New Shift Offer

When an agency admin sends a shift offer to a worker, the worker immediately receives an email like this:


This email includes:

  • Facility name (e.g., Host Care Home)

  • Shift date and time

  • Breaks and total working hours

  • A “View Offers” button to open their dashboard directly

From here, the worker can log in to their account, review the shift, and choose to Accept or Decline.

When a Worker Accepts the Offer

Once the worker accepts the shift, both the worker and the agency are notified automatically.

The worker receives a confirmation email confirming they’ve been successfully assigned to the shift.


At the same time, the agency receives an email like this:


This notification confirms:

  • Which worker accepted the offer

  • The facility and role

  • Shift date, time, and break details

  • Total pay rate for that shift

  • A “Review Shift” button linking directly to the shift details page

This ensures the agency knows the shift is now filled and can see all acceptance information without checking the dashboard manually.


Other Automated Notifications

ShiftNest also sends notifications for:

  • Timesheet submission: when a worker submits their hours for approval

  • Timesheet approval/rejection: when a facility signs or returns a timesheet

  • Shift cancellations or changes: when a confirmed shift is cancelled or updated by an agency or facility

Each message provides relevant details and links straight to the related page in the dashboard.


Delivery and Preferences

  • Notifications are sent automatically and instantly when the related action happens.

  • Workers and agencies can manage notification preferences under Profile → Notification Preferences.
