Approving time sheets

Once a shift has been completed, the shift worker submits their digital timesheet for facility review. Care homes can review, approve, or reject timesheets directly in the Timesheets section of the dashboard.

Accessing Timesheets

  1. From the left-hand menu, select Timesheets.

  2. The page will display:

    • Signed timesheets (already approved).

    • Awaiting review timesheets (pending approval).

  3. Click the yellow Awaiting Review tag or the arrow icon to open the timesheet details.


Reviewing the Timesheet

Each timesheet includes:

  • Worker name and role

  • Linked facility and agency

  • Shift date and times

  • Break duration

  • Total hours worked

  • Charge total

  • Worker’s digital signature

Care homes should review all these details carefully to ensure they match the completed shift.

Approving a Timesheet

At the bottom of the review window, you’ll find the approval section:

  1. Review the timesheet summary and confirm that the recorded hours are correct.

  2. Tick the declaration checkbox confirming that the information is accurate.

  3. Choose your preferred signature type:

    • Drawn – sign manually using your cursor or touchscreen.

    • Initials – automatically generate initials as your eSignature.

  4. Once ready, click Approve.

Rejecting a Timesheet

If there’s an issue (for example, incorrect hours, missing breaks, or wrong date), click Reject.

  1. Add a clear reason for rejection (e.g., “Shift ended at 9:30, not 10:00”).

  2. Submit your rejection.

When a timesheet is rejected:

  • The shift worker receives a notification detailing the reason for rejection.

  • The timesheet is automatically returned to them for correction.

  • The worker can then review, update, and resubmit the corrected version for facility approval.

After Approval or Resubmission

  1. Approved timesheets automatically update the Shift Hours Approved and Total Cost summaries at the top of the page and will show "signed" on status.

  1. Rejected timesheets remain pending until a new, corrected submission is approved.

  2. All activities (submission, rejection, resubmission, and approval) are timestamped and recorded for audit transparency.

Notes

  • Each timesheet includes a timestamp of when it was submitted and approved for full transparency.

  • Only designated facility admins have permission to approve timesheets.
