Creating Shift Requests

Care homes can create shift requests directly from their dashboard to inform linked agencies of staffing needs. This feature allows managers to post open shifts quickly, specify requirements, and ensure coverage for every role and time slot.

Accessing the Shift Creation Tool

You can create new shifts in two ways:
Option 1: From the left-hand menu, select Shifts, then click Create Shift in the top-right corner.



Option 2: From Schedule, click Add or Quick Add at the bottom of the calendar. The same creation window will appear.

Adding Shift Details

When creating a shift, fill in the required fields to ensure clarity and accurate matching by your agency:

  • Role – Choose the position required (e.g., Registered Nurse, Care Assistant, Cook).

  • Notes – Add any shift-specific details such as “Night shift,” “Medication training required,” or “Urgent cover.”

  • Date – Select the date for the shift.

  • Start and End Time – Define the exact time range, including breaks.

  • Break Time – Specify any unpaid breaks in minutes.

  • Hourly Charge Rate – Enter how much you’ll pay per hour for this shift once completed.

  • Total Charge Rate – The system will automatically calculate this based on the hours entered.


Submitting and Viewing Shifts

  1. Once you’ve entered all details, click Submit.

  2. The shift will appear under Open status in your Shifts tab.

  3. You can monitor its progress - whether Awaiting Review, Assigned, or Complete - directly from the dashboard.


Managing Shifts in the Schedule View

Your newly created shifts will also appear in the Schedule tab. From here, you can visually review and adjust your weekly or monthly schedule:

  • Drag and drop to change timings (coming soon).

  • Click a shift to open its details.

  • Use Quick Add to duplicate or create similar shifts rapidly.

Notes and Best Practices

  • Both Shifts and Schedule views show the same data — any change made in one will reflect in the other.

  • Always include clear notes and accurate pay rates to ensure faster fulfilment by your linked agency.

  • You can export your posted shifts by using the Export button for record-keeping.
